Beaverlog Tips: Volume 18 - June 4, 2004

This issue marks a change in the way we produce and distribute these Beaverlog Tips email newsletters. In the past, we sent different versions to customers running The THERAPIST version 1.0 and version 2.0. Now, with the release of The THERAPIST EZ 2.5 and The THERAPIST Pro 2.5, we will be sending one newsletter to everyone. We will try to include articles that are interesting and informative for whatever version you are using.

Another change is that the list of program changes we previously included at the bottom have been replaced with links to the change lists and the download pages on our web site.

Beginning with version 2.5, The THERAPIST for Windows has evolved into two separate products. The THERAPIST Pro is the next direct upgrade to The THERAPIST for Windows 2.0. It includes the Power Options as standard features, an on-screen viewer for HCFA-1500 print image electronic claims, the abillity to read ANSI X12 997 claim acknowledgment files, fee schedules for procedure codes with modifiers, several new reports, and many other improvements and enhancements requested by our customers.

The THERAPIST EZ is also an upgrade to The THERAPIST for Windows 2.0. However, it designed for smaller offices and for practices not interested in all of the electronic claims features available in The THERAPIST Pro. It is a much simpler program to use, hence the "EZ" part of the name. EZ is still a powerful and full-featured program. It prints HCFA-1500 (CMS-1500) claims and also allows you to generate the same claims as print image files so you can bill electronically through a claims clearing house if you wish.

Give customer service a call at (800) 895-3344 to order the upgrade to either Pro or EZ from any earlier version of The THERAPIST for Windows. Take a look at the price list for our current prices. Please note that upgrades to The THERAPIST Pro and The THERAPIST EZ from any earlier version require that we send you a new CD. This means that there are no downloaded upgrades.

HCFA-1500 Box 32:  New Medicare Requirements

Beginning April 1 (no fooling), Medicare is requiring that Box 32 be filled with the name, address, and zip code of the service location for all services other than tnose furnished in the patient's home (place of service code 12). If the information is missing or incomplete, the claims will be rejected as unprocessable.

The THERAPIST offers different ways to handle this depending on the version you are running. In versions 1.0 and 2.0, you can add a the information facility to your facilities list (Setup > Lookup Lists > Facilities/Laboratories). Then in the Case Information record (Patient List > Case/Diagnosis button > Inpatient tab) for each of your Medicare patients, you can select this new facility.

In The THERAPIST EZ and Pro, you can set it up just like versions 1.0 and 2.0 above or there is a new carrier option to make it easier. Go to a carrier (Setup > Lookup Lists > Carriers > [Carrier] > HCFA-1500 tab) and look for a check box called "Force the service provider name and the practice address into box 32." This option does just what it says. If this box is checked, all claims sent to this carrier will have box 32 filled with the name of the service provider and the practice address. It will even override a facility entered for individual patients.

We have heard through the grapevine that there will be more changes coming but have not details at this time. Rest assured that we will be responsive to changes in both printed and electronic claims and will make you aware of the changes as they become available.

Easy Update

In The THERAPIST Pro and The THERAPIST EZ (but not in earlier versions), there is a new option on the program's Help menu. When you select "Check Web for Updates," The THERAPIST will connect to our web site via the internet and will check for any updates later than what you are running. It will tell you if you are current or if a newer update is found. If an update is available, you can quickly download it.
